If prospecting feels like a frustrating grind…

Chances are you’re wasting time on the wrong leads.

I know most agencies who struggle with this:

  • Rely on low-quality scraped lists that are outdated and inaccurate.
  • Use generic cold outreach that gets ignored.
  • Chase the wrong prospects who were never a good fit in the first place.

As for the best agencies?

They use a system that brings in high-quality leads consistently…

Without wasting time on bad outreach.

If you want to do the same, make sure to:

#1. Get in front of the right people

The key to better results isn’t sending more messages.

It’s targeting better prospects.

Focus on pre-vetted, high-intent leads who are open to your agency’s services.

Here’s where to find them:

  • Industry associations – They can give you direct access to decision-makers they are connected with
  • Paid data sources – There are tools that can provide curated, high-quality contact lists. These include Coldlytics, Data Axle, and Apollo.
  • Referral partners – Collaborate with consultants or service providers working with your ideal clients

#2. Stop selling, start pre-positioning

The old-school approach of hard selling doesn’t work like it used to.

Instead, position yourself as the expert so clients come to your agency when they’re ready.

How?

  • Create valuable content – like LinkedIn posts, case studies, or videos that showcase your agency’s expertise.
  • Use retargeting ads – stay top-of-mind with website visitors and engaged leads.
  • Host Q&A sessions or webinars – attract pre-qualified prospects with a problem you can solve.

This warms up leads even before the call, making them more likely to convert.

#3. Build a follow-up machine

Most agencies lose leads because they didn’t follow up enough, not for a lack of interest.

Fix that with a structured follow-up process like this one:

  • Multi-channel outreach (emails, SMS, LinkedIn) so you stay visible
  • A nurture sequence that keeps leads engaged for months with valuable insights
  • Automated reminders to re-engage past conversations, even if they went cold

Remember…

Most leads aren’t lost on the first email.

They’re lost in the lack of persistence.

And if you want a step-by-step playbook to implement in your agency…
